Booking Process
Upon completion of your payment, a confirmation email will be sent to inform you that your booking has been successfully submitted. We will begin the process of matching you with an appropriate service provider. Once the match is successfully made, you will be notified via SMS and email, along with the cleaner’s details.
In the event that a match cannot be made, you will receive an email notification informing you of the failure, and the payment authorized during your booking will be promptly canceled.
Please be advised that submitting an order does not guarantee an immediate match. We will make every effort to match you once the order is received, and if a match is unsuccessful, we will contact you in advance to discuss alternative arrangements.
Service Scope
Basic Daily Cleaning Tasks: Emptying trash, cleaning desks/chairs/cabinets, vacuuming, sweeping, mopping, cleaning break rooms, cleaning restrooms, wiping telephones and computers, dusting photocopiers, wiping doors, cleaning interior windows, and cleaning the company’s exterior.
Please note that cleaning of external windows, dust filters, and other hazardous or difficult-to-reach areas is not included in the service scope. Cleaner reserve the right to refuse any work based on on-site safety considerations.
Should you have additional cleaning requests, kindly specify them when placing the order or contact our customer service team, and we will do our best to accommodate your needs.
Cleaning Tools and Supplies
Will the cleaner provide cleaning tools and supplies?
Customers are required to provide their own cleaning supplies. If you wish for us to purchase cleaning tools, an additional charge of HK$300 per month will apply.
The following tools and supplies are generally needed for office cleaning:
Basic cleaning agents: Disinfectant, Blue Power
Basic cleaning tools: Black trash bags, white trash bags, towels or cloths, gloves, broom, mop, bucket, vacuum cleaner (if applicable)
Window cleaning supplies: Glass cleaner, squeegee
Breakroom cleaning supplies: Dishwashing liquid, scouring pads
Restroom cleaning supplies: Toilet brush, green water
Additional charges apply for the following services:
Cleaning more than two restrooms: An additional half hour will be charged for every two restrooms
Rental of vacuum cleaner: HK$100 per day
Customers are required to provide their own cleaning tools, such as brooms, mops, buckets, vacuum cleaners (if applicable), glass squeegees, and toilet brushes.
Service Hour Calculation
How many service hours should I purchase?
The quality of cleaning is influenced by the number of service hours selected. Kindly ensure you select sufficient hours for optimal results. The following are the recommended minimum service hours:
- For offices under 3000 sq. ft: 2 hours
- For offices between 3000–5000 sq. ft: At least 2.5 hours
- For offices between 5000–7000 sq. ft: At least 3 hours
- For offices over 7000 sq. ft: At least 4 hours
Please note that the actual cleaning hours may vary depending on your office’s condition. The figures provided above are for reference only. Our service providers will do their best to complete the tasks within the allotted service hours. If the time is insufficient, the quality of the service may be affected. Monthly Plan
How is the monthly plan calculated?
In addition to our 1, 3, and 12-time office cleaning packages, we offer a monthly subscription plan. Services are billed on a monthly basis.
When selecting our monthly service plan, the payment for the first month will be charged at the time of booking to confirm your order, and subsequent monthly payments will be due 10 days before the beginning of each service month.
Monthly plan calculation: The first service date will be considered as the beginning of the subscription month. For instance, if the first service is on January 5th, the first month will run from January 5th to February 4th, with the second month running from February 5th to March 4th, and so on. The monthly fee will depend on the number of services provided during that month.
Please be aware that public holidays are excluded from the monthly service days, and the service schedule will automatically skip public holidays. Should you require services on public holidays, please contact customer service at 3703 3250, and additional fees will apply. For lower cleaning frequency, we recommend opting for the 3-time or 12-time package.
Cancellations and Changes
Can I cancel or modify my order after purchasing the office cleaning package or monthly plan?
Changes to the order: You may modify the service date and time, subject to the following terms. Changes are only accepted if requested at least three working day in advance, during business hours, and a HK$50 administrative fee will apply for each modification.
For customers selecting a package:
Cancellation policy: You may cancel at least one working day before the service time, with a HK$100 administrative fee. Cancellations made after business hours on the day before or the day of the service are non-refundable.
For customers selecting a monthly plan:
To cancel the monthly plan, you must notify us one month in advance before the start of the next service month and pay any applicable additional charges. A HK$300 cancellation fee will be applied.
Frequently Asked Questions
How soon can a cleaner be arranged?
Once the system receives your payment order, we will begin matching you with a cleaner immediately. The matching process typically takes up to 5 business days but requires at least 1 business day.
Can I request a change of service provider if I am dissatisfied?
If the assigned cleaner does not meet your expectations, we are happy to offer a free replacement. Please contact customer service at 3703 3250 for assistance.
Can I specify the service time for each cleaning session?
For monthly plan users, the service time must be fixed. Should you need to adjust the service time and date, please refer to the cancellation and change policy.
Does the Toby office cleaning package include labor insurance and MPF?
Toby is the only company in Hong Kong that issues labor insurance certificates for our cleaning staff to clients, ensuring that every cleaner is covered by labor insurance, accident insurance, and third-party liability insurance, providing you with full peace of mind.
What happens if the service day falls on a public holiday or a typhoon signal 8/black rain day?
Public holidays are excluded from the monthly service days, and the schedule will automatically skip such days. In the case of a black rainstorm or typhoon signal 8, please contact our customer service at 3703 3250 for assistance.
Is payment required before matching a service provider?
Please note that placing an order does not guarantee a successful match. We will do our best to match you with a service provider once the order is received. If a match cannot be made, we will contact you in advance to discuss alternative arrangements.
Can window cleaning be provided?
According to occupational safety guidelines, cleaning staff should not lean out of windows to clean, especially when there is no window grille. Therefore, service providers will only clean interior windows and will not clean exterior windows.
